Issue with API Call : list needs to be refreshed for info to be pushed

Hi,

we have implemented a new web service a couple of weeks ago. Up until today it was working fine. However we have noticed that we need to refresh in Marketo the source list to have info be pushed to our target table. Have you encountered same isssue? How did you solve it?

Here is a brief overview of our flow:
Fills out form > Add to requested list > Approval Process > Add to approved list > web service calls in real-time the list and pull new data
