It is possible to insert images into custom forms (check out @CynthiaBoon 's Top 3 video about adding images to custom forms) but depending on the number and size needed, that could get cumbersome. Reporting is definitely a large piece of it but another factor is trying to keep all your information in one place. Once we got teams trained, it was much easier to track all the information and changes in one place/one source of truth vs. having a bunch of different versions of documents or emails ...

Do any of your teams share fields? Then the data would pull into the respective forms...
