Automate Staff Access to AA

Description:

I get a lot of emails like this: My name is XYZ and I was pointed in your direction to get help with accessing Adobe Analytics.

I get the request all the time and every time I think “I wish there was a way to automate this”. I know Adobe can tap into a company directory, but we have a complicated system of profiles. The idea would be to have a link in the profile that the admin can copy/paste to the user. The admin can approve each registration or, as an option, the admin can auto-approve all users who use “COMPANY-NAME.com” as their registration email.  A cherry on a cake would be yet another option for the admin to put this registration link to this particular profile as the default “Register Now” link on Adobe login page, which effectively would 100% automate the process.

Why is this feature important to you: it will save a ton of time.

How would you like the feature to work: Described above, automate the entire process

Current Behavior: Manual, slow, and error prone

There are two approaches that would work today that I can think of:

  • Use User Groups to democratize access: Instead of giving people access to product profiles individually, create a user group for each profile and only add people to that. This allows you to nominate user group admins who can add and remove people from those groups, taking the load off of you. That approach works as long as the new user already has access to the experience cloud org.
  • Use the user management API of the Admin Console: With the API, you can build any kind of process you like. Some examples that people use:
    • Leverage ticket tools like Jira to build a workflow that automatically creates or modifies users once a certain approval step in the workflow has been reached.
    • Create a page on your corporate intranet that passes the user's mail address to a script that grants access to that user
    • Use Project Firefly to build an app within the Experience Cloud that resembles your desired workflow
