Tracking Expenses

Good Morning! I have been tasked with implementing project expense tracking within Workfront. I've taken the training & just starting noodling with the functionality in Preview... Two questions immediately came to mind: - Any pros/cons to tracking the expenses at the project level vs the task level? - It seems in order to track a reoccurring expense, a separate expense line item needs to exist for each occurrence. Is that correct? Anyone have a creative way of getting around that? Any other lessons learned or best practices I should consider as I get this going? Thank you! The issue I've had is that Expense is a separate object so I can't add items to my expense report that have anything to do with the the project. For example, I want to sort the report by the project due date and add a column for the project owner and I can't do it.

Hi, Jill. If your report is based on the Expense object, you should have access to Project Planned Completion Date; just add that as a column in your report and apply sorting. Adding the Project Owner is a little trickier, as you'll need to use Text Mode to get to it. I suggest adding a column to your report for Project Owner ID, then switch to text mode. Then edit the text to look like this: valuefield=project:owner :name querysort=project:owner :name valueformat=HTML displayname= Project Owner linkedname=project namekey=view.relatedcolumn namekeyargkey.0=project namekeyargkey.1=owner :name That should get you what you need. ~Eric Eric Manning Language Line Translation Solutions
