Pop account - Workfront Emails

Hi All, Just a general question about Email Setup. Does anyone use an external POP account to handle the Incoming/Outgoing mail from Workfront? We have seen some oddities. It works in general but we have noticed issues from time to time with some messages not being delivered? Reaching out to see if anyone has any tips and tricks to ensure things get delivered? Hi Al We are currently looking to put this in place in our live environment in Workfront. Would be very interested in hearing more about the issues you are having, and if you manage to resolve them. Hi Al, We started using it at the 18.1 release so we could include it in our enhancement trainings. We noticed last month that a bunch of the emails were not being picked up. They were making it to the POP server and Workfront was reading them, but they were not being collected and moved into Workfront. We tried working with support but they said it has to be on our side and we should switch to Google's Gmail. So after talking with our IT and Security team we did that because we really needed it to just work all the time. (Our people love the feature) So far, it has been working fine since we switched to Gmail. Hope that was helpful. Anthony Imgrund FCB

Hey Al, Typically the issue I see is that the outgoing mail provider has a limit on the amount of emails that can be sent per day. Hotmail was pretty low, 500 I think, whereas gmail allows 2,000 per day. My numbers could be wrong as I haven't checked on the limits for a couple years now, but that's the biggest issue I've seen over the 5 years here. Google is one of the best, and easiest providers, and one of the few that allow plus addressing (email+whatever@domain.com, the + is ignored by gmail and is delivered to email@domain.com, so many folks use Gmail for stuff like email+workfront@domain.com to send WF emails to, etc.) Good luck, and please feel free to reach out to support if you have any further in-depth questions you'd like to cover. We've had this happen on too many occasions since we bought WF in 2014. It's happened probably 5 times. Emails stuck in the POP mailbox or not getting there at all. And the problem is unless you're specifically looking for a comment it's tough to know that it's happening or for how long. I don't have a trick other than to monitor the POP mailbox every now and then to ensure everything is clear. The gmail solution is intriguing. I hadn't heard that as an option before and I'm not sure it would work for us, but that's an option. All in all I haven't seen the issue in many months. But I will say in order to get them to fix it I had to doggedly pursue WF Support and stay on top of them to resolve it for us.
