The holidays and the end of the year are near, making it a natural time to tidy up the toy shop. Here are three best practices you can quickly apply to improve your Workfront hygiene, to help you and your team be optimized heading into 2020.

Change your password

Following good password management practices is critical to keeping information secure. If you haven’t changed your password in a while, now is the best time. Workfront has a dedicated section for authentication, accessible by system administrators. You can force users to change passwords after a certain number of days, determine how strong user passwords are required to be, and select how long users will be locked out of Workfront after entering an incorrect password five times. Learn more in the article, Configuring Password Policies for Authentication

NOTE: These settings do not apply if your organization uses single sign on (SSO).

You may want to recommend your organization implement a password manager to help keep track of these passwords—LastPass or 1Password are great options.

Object cleanup

No one likes a messy office or workspace, and keeping Workfront uncluttered with unused or out-of-date objects is a long-standing best practice that makes a positive impact on your user’s experience. Workfront developed an easy tool to help you quickly bring some order to those messy parts of your environment—a cleanup dashboard that you can import into your system via a Kickstart file. The reports provide a visual of which objects need to be edited, deactivated, or deleted. To download the Kickstart file, click into the article, Workfront Cleanup Dashboard

User cleanup

Similar to the impact of cleaning up unused objects, maintaining discipline around reassigning or managing work from departing employees provides many benefits to the team. Most importantly, it makes sure no critical activities fall through the cracks when the owner leaves. Second, it’s a proactive way of keeping the environment clean from tasks and projects that are no longer active. A gap in this process results in dozens to hundreds of items that are orphaned in the environment, creating an inaccurate view of work actually taking place. The Done Right at Workfront (DR@WF) team created a departing employee dashboard that you can recreate in your own environment by following the steps in the Workfront Community blog, How Workfront Cleaned Up Its Own “Unbridled” Instance of Workfront

For active users, send out a reminder through the Announcement Center to make sure that all information in their personal profile (contact information, job title, role, manager, etc.) is accurate. To learn how to view or send announcements, click here
