The new Workfront experience beta preview

Avatar

Level 5
Hi Everyone, We are excited to release the new Workfront experience beta in your preview instance today. We have been researching and collecting feedback on our modern work management platform for the past few years. We've listened to your ideas, incorporated your feedback, and built this new experience alongside you. This will be a journey over the next few months as we listen and continually improve the design to ensure we are helping you do your best work. Please use this beta discussion for any questions related to the new Workfront experience, and we will help answer questions you may have. For feedback, we encourage you to submit this in the application by using the Help button in the bottom right of your screen. This routes directly to our Product teams who will take action and trend the feedback. Trending feedback will be posted here every two weeks with a response from the Product team. I'm trying to keep an open mind. I've been working on the preview site today more so I've been noticing how EX is affecting typical work. Not to sure on the user experience as I'm now getting lost every time I reuse a tab. Eg, I've opened a setup tab. Then somehow while working, I had changed it to Project. Then I remembered I needed something from Setup again. I look at the tab that I've been using for setup and it's not there anymore. It may just take getting used to but it's a steep learning curve and I'm not sure if people will actually get used to that kind of UX. Another thing is the breadcrumbs are gone. Eg, I'm in one of the projects. The breadcrumb that should take me back to all projects is not there. I guess I could use the back key, however, I've opened it as another tab so no real back button to take me to where I need to be. One more thing that I've noticed - the urls are changing. A lot of my API work relies somewhat on urls so that would likely mean I would have to change a lot of my programs to reflect the urls. In a way, it gets you exactly the screen on the project where you want to land but I would brace myself for all the changes I need to do once this becomes live. Polly Co

Agree with the majority of what Sarah said. The large majority of our user navigation is from bookmarked dashboards, and very few use "Home". We are heavily dependent on first login taking users directly to the "Reports" tab where the first sub-tab is their most needed dashboard. Matt Marks Banner Engineering Corp.

Workfront - is it true that the URLs will be changing?? Sarah Nau Dominium

@Sarah Nau , my comment regarding the url is not the server itself. eg domain.my.workfront.com.. it's more the components eg... when you go view a project, it's domain.my.workfront.com/project/view?ID=xasdfas2342dffasfds whereas in EX, it's domain.my.workfront.com/project/fsdfasfafdafafa234/task or domain.my.workfront.com/project/fsdfasfafdafafa234/updates etc... Ug, we use 'external links' on dashboards with a 0 height to link to projects and other dashboards without having to have a report. We also use API functionality, but I'm not the expert for our company on that. Thanks for the clarification! Sarah Nau Dominium Inc.

Yes it looks like the URL format has changed. The good news is the URL changes as you click each WF embedded tab even though you are still under 1 browser tab. Would have been a much bigger problem if the navigation was embedded under 1 static URL like you see on a lot of eCommerce sites. We do a lot of API work, but I don't think we call to singular objects via URL very often (if ever), so not sure it'll be a problem for our API uses. I do wonder however if this will break people's browser bookmarks (bad practice, I know... but very prevalent) Matt Marks Banner Engineering Corp.

Unfortunately, I have some programs running that relates one project to another via custom form fields eg I have https:// domain.my.workfront.com/project/view?ID=xasdfas2342dffasfds on the form field so that the user can quickly click on the link and jump to the related project. I'm hoping those links won't be broken as those would be now considered legacy data. It would be a pain to have to rewrite those types of data. Polly Co

We have the same thing - I just copied the URL that populates on my custom form, replaced 'my' with 'preview' and tried it - it does get you to the task, but our URLs that go to a specific place on the task (i.e. directly to the documents tab: "https://dominium.my.workfront.com/task/view?ID=5cd9a5b8008550d60d897b53fb0fb6a0&activeTab=list-task-documents" rel="noopener noreferrer" https://dominium.my.workfront.com/task/view?ID=5cd9a5b8008550d60d897b53fb0fb6a0&activeTab=list-task-... ) does not take you to the specified tab, just the updates. For the URL updates and changes, yes the Workfront experience has delivered some new URLs with most of them now allowing you to easily direct link to areas of an object like updates, documents, and issues. Other URLs now allow you to access areas of the application that previously didn't have direct access like Resource Management tools. Our goal is to ensure no bookmarks or links break and users can work in either Workfront Classic or the new Workfront experience with no impacts. Therefore, you can share Classic and new experience URLs and both URLs will take you to the correct page. Currently, there is a known issue where "activeTabs" URLs do not open on the expected place as Sarah mentioned. We will be resolving this issue to allow "activeTab" urls to open the expected page in the new experience. Polly, I would love to hear your feedback about your API usage with direct object URLs and your concerns. With the ability for Classic URLs to remain active hopefully this will help not cause any need for API updates. However, please feel free to reach out to me directly. Josh Boston Workfront

@Josh Boston , my concerns are that classic URLs would break when used in conjunction with experience. However, you've already said that it should not break so I won't have to rewrite already existing data once experience becomes live. I do appreciate that the direct link to the components of the project and other objects. Polly Co

I have many questions about the layout templates as well. With the current Workfront instance, there is a choice that says 'On login show', and you are able to select which page you want those users to be defaulted to. Is this option going to be added back in or going away with Layout templates for the new experience? Laura Mormile Excelsior College

HI Josh, This looks amazing. I'm curious if our existing layout templates will be honored or if we have to rebuild everything? I don't see any in the list on Beta. thanks Brian Brian C. Mauger Bloomberg L.P.

I echo what most are saying here about custom dashboards. They are difficult to get to in the new experience, and we definitely need the ability to default custom dashboards to be there, be the home screen when the user logs in, and be quickly and easily accessible. Right now, honestly, it's difficult to even get to dashboards. Even if Home were perfect (sorry it still needs work in my opinion), we have a huge number of users, such as project managers, where it's much more important to them to have those custom dashboards there immediately when they log-in providing them the reports and information they need. Some teams, who don't really work on/complete tasks, won't have any use for Home -- but dashboards are critical to them. Matt May Stream Companies

Thank you all for your feedback about Layout Templates. We are collecting and analyzing the feedback here and from those of you submitting the feedback in the application. We will be posting the trending feedback by next Friday with a response from the Product team on the next steps we are going to take. Layout Templates will be one of the trending items we will discuss and especially the ability to customize a user's landing page as many of you mentioned in this thread. Please continue to provide feedback as our Product teams are analyzing each of your feedback items. For now, there are a couple of Layout Template items that will be showing up soon in your Preview instance. The first will be making your existing Layout Templates available in the new Workfront experience. You will not have to rebuild your layout templates. We expect you will want to take advantage of the new customization options provided in the new experience and therefore you will need to update your existing templates to customize those new sections. For example, you can now hide the new icons in Main Menu and soon customize the new Project Details. We will provide more details on the rest of the new updates to Layout Templates, including the ability to customize Project Details, next week in our trending feedback post here in the Beta Group. It would be great if you could right-click on a task while in the task list of project and choose "open in new tab" (new Workfront tab, not new browser tab) so that you can have 2 Workfront tabs open - one for the project and one for the task. Kirsten Heikkinen Trek Bicycle Corporation

I echo your concerns Laura. The current layout templates don't work for us in the new experience & most of our users prefer to log onto the view that works for them. Most of our users also don't use 'home' and kanban/scrum teams prefer 'people/teams' tab as their landing page. Workfront, can you confirm that this functionality will come to preview soon or at a later date? Miranda Rais Max Nyirenda HomeServe

Hi Josh, I see that the kanban/scrum area is under construction and new functionality will be added soon, could you advise if UX improvements will be added with this update? For instance, in previous versions the team members were always visible so if you had a long list of stories, you could easily assign the correct user as they were always visible. For some reason, in a more recent update, you removed this and the users were always at the top which meant assigning users to stories that little bit harder it's not a game changer by any stretch of the imagination, but our agile teams have moaned about this a fair bit. Could you also advise what scrum/kanban improvements are coming with this update as it feels like the lesser cousin to waterfall in terms of functionality? Kind regards, Max Max Nyirenda HomeServe

Hi Josh, I've been looking at the summary pane, available when right clicking the meatball for a task, and I think this is a great new feature; however, it would be great if the documents were actually shown as a thumbnail, instead of a blank PDF image. Maybe this is something to do with the document not displaying when I actually click it, either way something doesn't seem to be working correctly. Also when you have clicked on a document from this summary pane, getting back to the project isn't easy. I assumed clicking the task button would get me back, but it didn't: So when I clicked the back button on my chrome browser it didn't take me back to the project I was on, but to the list of projects the only thing that worked was refreshing my browser, but that isn't intuitive. Finally, the proof view doesn't seem to work either as I get "an unexpected error happened" message when trying to view the proof. Kind regards, Max Max Nyirenda HomeServe

I agree with your point regarding the breadcrumbs disappearing, I'm finding it confusing to know where I am as it's also not clear for example when you are in the sub tasks area - it's just not as obvious as before Louise Reynolds Premier Farnell Senior Global Marketing Workflow Specialist

We would also need the ability to have Reporting as a default page when logging in. I personally use this view. Louise Reynolds Premier Farnell Senior Global Marketing Workflow Specialist
