Layout templates

Hi So I decided today since I have some time to plunge into the Beta. I'm a little overwhelmed by the whole thing, plus the enormity of having to set everybody up all over again, and fearful of the crying and yawing when anything new is introduced, but the customization options will surely make it worthwhile. I'm starting by taking screenshots of all my main screens so I can recreate in the Beta to see how it works. I can't find any documentation about how Layout Templates are working during this crossover period. The layout template options are completely different for Beta than for Classic, but I'm fearful that if I make a change in one it will do something bad to the other. Are the settings completely separated from each other depending upon which interface you are subscribed to? Also, it seems like I can make pretty much every change on screen without using the Layout Template. I understand why I would want to use them for the team, so we don't have to individually set everyone up, but for myself, are admins updating their own Layout Templates or are they simply adjusting as they go to customize their own interfaces? What's the pluses and minuses of both ways -- before I go down the wrong road? Thanks! Jill Ackerman

Hi Jill, Thanks for starting this thread and asking great questions! Let me walk you through the main points. 1. You don't have to worry, the changes to New Workfront experience Layout Templates are not affecting the Classic Layout Templates (the opposite is true as well). The reason for that is the major differences in the interfaces. 2. All your existing Classic Layout Templates were migrated to NWE, in order to reduce as much as possible the time to set everybody up, though as stated above after migration Layout Templates in different experiences live a separate life. 3. Following this link , you can see the detailed documentation on new Layout Templates and the capabilities they provide. 4. As for the point on customizing the interface "in-flight" vs via Layout Template, there are few important points to that distinction: Those concepts are not replacing each other, rather they make the experience more complete. What that actually means is that Layout Templates are intended to set up the general frame of the interface for a group of people, though every person has the right to adjust the interface to match their own needs. Not everything that is available to be customized via Layout Templates can be customized via the interface directly and Layout Templates provide more robust customization experience. The examples include Workfront Home customization, Lists (filters, views, groupings), Object details and etc. I hope this helps and feel free to ask any other questions you may have. Hi @Gevorg Kazaryan , The hardest thing for me with switching over to the new layout templates in the new experience is customizing everyone's landing page. In the classic experience, you could set the "when I log in, show:" and then each person could adjust what their first tab is in that screen. For example, in the classic experience, let's say I give 10 users the same layout template. For all of them, I have the "when I log in, show:" option set to Reporting. Each user can individually go to More > customize tabs within the Reporting area to set which dashboard is the leftmost, and thus, the first thing they see when logging in. However, they still all have the same dashboards at their disposal thanks to the layout template. In the new experience, everyone is forced to go to the "home"/logo icon as the landing page. And you can only customize what shows as the landing page in the layout template. So now, I might need to create 10 unique layout templates for the same 10 users from my previous example if each of them just want a different landing page. Can there be a way for each user to specify a tab as "show this when I log in"? Kirsten Heikkinen

Hi Jill - one thing I wanted to add: the nice thing about this interface roll out is that it is a rolling roll out instead of one day everything switches. We were part of the beta so we already have it in Production. We can train people (or we have an overview video they can watch) and they can decide to switch over. And we give them the option if they are really busy, we will switch them back. They can do their things and the next day or two, we will put them back into NWE. I have to say, letting people know they have the ability to go back has eased some of the anxiety. We are working on a roll out plan and training so that everyone is switched over by October 5th and that gives us a few months to work out such crying and yawing, but so far, users are doing okay since they know we will switch them back if they ask. Hi @Kirsten Heikkinen , Thank you so much for the great feedback! Actually, you can achieve the use case you're mentioning in NWE. What basically needs to happen is that you as an administrator need to set up a landing page for your users (e.g. Projects) and set up some dashboards that you think are essential for them to see on that page, if users would want some other dashboards to be primary for them to land - all they need to do is to create a custom section on left panel and order it to be the first item on the left panel. Once they did that they'll land on that specific dashboard. I'm happy to walk you through that flow in more details and I'll reach you out to set up some time. I hope this helps. HI Anthony Yes, I'm thinking about that now and I waited to dive in all these months because I was too scared, I feel like I am just becoming comfortable after 2 years using it! I'm going to wait until the Reporting tab can be customized, as that's an important one with our current setup. The good news is that it didn't take me as long as I thought to get used to the new layout and I'm going to introduce it to my other Admin and use this opportunity to teach her about Layout Templates which I've been managing myself. So, opportunities! Thanks, Jill Jill Ackerman

@Kirsten Heikkinen are you saying this landing page option is not working in NWE? I have been setting up my layout templates and labeling them NWE to make it easier when I switch people over, but I have just been assuming that this will work. Michelle Bowden Fiserv ETG

So for my layout template, I have landing page Projects (like Michelle has in her screenshot). One thing I will say with the NWE, it remembers what dashboard I was on last. So the first time, it did go to the dashboard that was the first one on the left nav menu. But now, it will land on whatever dashboard in that area I was on last. Isn't the end of the world, but it would be nice if I could have a more static landing page. Anthony Imgrund FCB

Jill, I hope you'll take advantage of the NWE materials that we already have out on the Learn the NWE website: https://experience.workfront.com/s/learn-new-workfront-experience There are quite a few one-pagers and comparison guides out there. But be sure to check under the Enablement Kit section. There are 3 "getting started" PPTs that you can download and then customize to help train your users. We don't have anything out yet for layout templates. But it's coming! Allison Allison Lippert allisonlippert@workfront.com

Similar question. As we go through making these updated layout templates, is there possibly a way to bulk edit a template. For example, I need to update the waffle to have the same main menu items across several templates. Also if not, does anyone have a handy Excel or Word list of the different areas that I could plug in my answers and then save so that whenever we make an update to the "master" we know we need to make that change to the others? Hi All, Is anyone else having trouble with Layout Templates in NWE? I have a ticket open with support because not all of our Layout Templates were transferred over to NWE. We have 31 in Classic and only 26 in NWE. Amber Dallapiazza The Home Depot

They did the migration awhile ago so you might have created the other Classic templates after the migration. Might be why they are not there. Anthony Imgrund FCB

Yes, I only had 1 that didn't come over and Support advised me to just make a new one in NWE. Since it was only one that's what I did. If I had more I'd be upset. To be clear, that template was most definitely created before anybody switched over to the new experience.

Yup going through that right now. Somehow I overlooked the warning and now we have a ticket in to see if select templates can be migrated over instead of doing all of them. Monique Evans Stanley Black & Decker, Inc.
