I'm the Senior Director of Planning and Resources for ESPN Creative and Studio Direction. We've been using WF for over two years to intake work requests and daily production reports. I'm happy to talk about our experience with Disney colleagues.

My apologies..should've gone a little deeper. I work for DVC Planning & Integration as a project manager and also System Admin for Workfront. We're about 2.5 years into Workfront. Currently, we are in 'Workfront expansion' mode across all of DVC. Exciting it is!!

Hi everyone, we are just coming up on our 1st year anniversary of launching Workfront, but already we've migrated many of our content, operations, delivery, and accounts processes into the system. The teams love it! In the next 6-12 months we hope to look at two key processes migrating scheduling and timesheet/time tracking into WF. We've gotten very good at request forms and routing as well as customized tabs/views for specific roles. One fun thing we've managed to do includes using some Disney emoji's to indicate an approval! Looking forward to sharing best practices and seeing what everyone is up to!

Congrats, Chris! We've become quite resourceful with request queues (gone paperless in some instances!), routing, and dashboard creations. Also have approval processes in place. Dashboards are fantastic for providing executive updates and informing other key stakeholders on health of projects. Across our division there is plenty of enthusiasm with Workfront. Users are now able to clearly track work and give updates sans all the emails! Moving forward with our expansion (next 6 to 12 months), we would like to utilize the resourcing tool to help track the workload of project owners and production teams. In addition, we will be creating more custom views based on license level or roles. How were you able to create those cool looking emojis on approval processes?

Susan, going paperless has been our rallying cry too. It's really helped getting out of our manual word document forms that would get emailed around for approvals and all the one-off excel spreadsheets everyone would create. We see the same enthusiasm here with the updates instead of emails you need to file and save. I'd love to know more about your executive update dashboards. We got an early demo from Steve Flynn but sounds like they've advanced since then. Anything you can share would be great! We could even connect via Lync to share screens or do an in person meeting together to benchmark. We are looking to do the same with resourcing and would love to partner as we both look at this tool. We've created essentially a new approval's tab since the WF view isn't really great to see the process and where things are in approvals. I wish there was a default notification to notify the project owner their project was approved. As for the emoji's, i just found this community post and then modified the text edit code for our purposes: https://community.workfront.com/p/fo/st/topic=62&post=1333#p1333 I've attached two screen shots of some of the ones we are using. Here is the current code we are using. It points to an image file saved on the document tab in a project everyone can access. displayname= image.case.0.comparison.icon=true image.case.0.comparison.leftmethod=status image.case.0.comparison.lefttext=status image.case.0.comparison.operator=in image.case.0.comparison.operatortype=string image.case.0.comparison.righttext=CPL image.case.0.comparison.truetext=/document/preview?versionID=57db1ec2007e0066d1021bae7dbb93f6&ID=57d94efc005c83ef10c331bf8c162d3a image.case.1.comparison.icon=true image.case.1.comparison.leftmethod=status image.case.1.comparison.lefttext=status image.case.1.comparison.operator=notin image.case.1.comparison.operatortype=string image.case.1.comparison.righttext=CPL image.case.1.comparison.truetext=/document/preview?versionID=57db1ec7007e01aaba50663e9381c539&ID=57d94efc005c8448329372874e9a6479 linkedname=direct namekey=statusicons textmode=true tile.name=component.projectstatusicons valueformat=HTML viewalias=statusicons tile.template=/WEB-INF/jsp/lists/components/projectStatusIcons.jsp

Chris, thank you for sharing the code and link. I agree, let's partner on the resource tool and share findings. Steve is currently at LEAP and am sure he will have plenty to share upon his return. Let's schedule a meeting (in person or screen share) in the next couple of weeks where we can tackle several topics (approx 1 hour). Of course, you are welcomed to visit us at 1390 Celebration Blvd. 🙂

Hi Team - I'm with Disney Financial Systems (DFS). We're an Enterprise team that supports all the segments. If a penny goes through it our team is involved in some way, so we've got lots of projects! Most are around SAP or Parks and Resorts. We've been piloting Workfront for a Company Code deactivation project - it's actually 344 separate small projects in one initiative. We've been happy with the dashboarding we've been able to provide to management and how quickly we've been able to get team members onboarded. I've been the system admin for the project for the last about 5.5 months and will be for any future roll outs we do to the team. I love the emoji's Chris - thanks for sharing! Anyone have any tips for Resource Management? Thanks! Jennifer

Hi everyone, I'm Steve, Planning & Integration Director for the Disney Vacation Club. We use Workfront as a project/process management tool. We recently received approval to expand the use of the tool to cover all areas within the business. While my team and I have been using Workfront over the past three years, over the next 6-12 months I hope to achieve full adoption by the larger DVC organization. The skill I've learned is the ability to influence the expansion of the tool (to enable better collaboration and communication) and how to create processes and meeting structures to support the establishment of a PMO model (in a structure averse culture). I look forward to learning from each of you! -Steve

... I Seem late to the party here I'm on the ESPN Instance as the System Admin for tools including Workfront. ESPN has had an instance of Workfront for 5+ years now and has morphed into its own element here over that time. Currently it's being used by many different divisions here: Creative Studio Direction Creative Works Technology IT Technology Development Technology PMO Technology Services (we use what we support) International Sales International Distribution Production Remote Operations Production Support XGames Misc - More Of the above business units many are leveraging the tool in unique ways that pertain to their business and needs. Anyone has questions please feel free to ask. I've been involved in Workfront for about 2 years now as the Admin for the majority of the tasks. Looking forward to learning and sharing with the rest of you! I would be interested in knowing who the other System Admins are in each Disney Business segments....
