Associating client information in WorkFront tasks/issues

We're currently trying to figure out how to store client information in tasks and issues for reporting/working purposes. We planned on using WorkFront Companies to do this, but recently discovered that there is no way to add a company to a project or task. It's pivotal for us to be able to associate our clients with specific tasks and issues becuase a lot of our intitial work for projects will be coming in as tasks and issues to be triaged from a queue using client information. We work with thousands of clients so we need to be able to associate a task to a company rather than putting in all of the clients information into each task. We have an IT team that is going to be working with the API. How have you been succesful in storing Client information in WorkFront and associating it with tasks and issues? Any ideas? Parker, What kind of information? And can you use Custom Forms to capture the data? Aaron Godwin Gentex

Hi Aaron, and thanks for responding! We're storing information like Account Number, service tier, if their account is currently active, and contacts. We can use custom forms to capture the data. But, we're trying to put the information somewhere where it only needs to be entered once instead of everytime a task or issue is created. To give a bit more background: We receive hundreds of line items ordered a day. Many of our clients purchase multiple products from us in intervals and modifications to orders happen regularly. Orders are going to be pushed into our queue as a task via API, and modifications will come in as issues to the queue via API. We will require a team to move items from the queue into an existing project regularly as well. Tasks that are starting a new project will be converted to a project. It would be nice to be able to associate a company to a task so that our team going through and trafficking these tasks won't have to manually associate the company to the project. I look forward to hearing what you think. Thanks again! Parker Cantu MultiView

Have you tried doing calculated fields on your custom form? I have some custom information that I read down from the Project level and Parent Task level, but I haven't tried going up from the Issue. Just a thought maybe if you had a Template that had a custom form that read from the Issue or Task you might be able to push that data up (but this just popped into my head no idea if it'll work). Hey Aaron, I haven't messed with calculated fields yet. I wasn't aware that you could do things like that! Today we had a call with our Configuration Consultant and we are actually moving away from Companies as customers. Thanks for your responses, Aaron. You've brought the potential of calculated fields to light and been a great introduction to the Launch Community for us. Have a great day! Parker Cantu MultiView

Hi Parker, I'm not sure what kind of setup you have but you might try using Portfolios and Programs to help organize your accounts and track the related details. You can add custom forms there too. Just a thought... View this on Workfront > Peyto Yellin CareOregon, Inc.
