New Home: Allow project-level documents and updates to display in Home - Workfront 18-05-2018
Liking the updates to the new Home feature, but we work on and add 'updates' at the project level. There are many fields at the project level that are allowed to be displayed, but we would like the ability to display documents and updates on the Home that pertain to the project the task belongs to.

If you are not familiar with reporting, i would recommend to first watch their video. It's super helpful. If you are, then the following should help/make sense (fingers crossed that it does). 1) Choose New Project Report 2) On the Columns (View) tab, add the additional columns that the Sponsor may be interested in and choose the column you would like to have it sorted by. 3) In Groupings, choose how to group, if needed. 4) Filter tab: choose Project: Sponsor ID for your Filter ID. Hi Leah, If I'm understanding the issue correctly, I'm wondering if a report would work? I'm assuming the external requesters have review licenses. Based on that, for the new projects from an external requester, you could make them the sponsor of the project. Then you could run a report for each sponsor with specific project information that includes the project owner name, details, and other information they would like to see. When we switched to Workfront, we also started to use Google Docs. Our users love the capability of multiple users able to update the docs at the same time, ability of adding comments, and that Google keeps versions. Adding the docs are very easy. The only pain point I've seen is having an additional log in for Google and adding the users to that account. Here is how we do it in more detail. In the project, under documents, go to Add Document and select New Proof. On the proof page, enter the url of the email. Hit the return key to add it into the proof list. Click the Create Proof button and it'll generate a proof similar to a document/PDF that's been uploaded. For our team, the person programming the email, sends a test to him/herself from the email software. At the top is the link to view the 'online version' (e.g., "Can't view images? See the online version.") We use the link of the online version and upload that in the Proof. It then generates a clickable proof that our testers/approvers review. We have our Portfolios set up by company/departments, and then the campaigns are set up as Programs. This works great for the marketing teams, but not so much for the development teams. We have included a custom field called Project Type. This way, reports can be generated by those teams that work on specific projects (e.g. email dev team can review all email projects). We have the same issue. Our work around was to set up a project called recurring projects. There are tasks set up in the future as a yearly reminder to request/set up the new projects for those that need them. After 2-5 years, I have a task reminding me to find out if the projects are still relevant and to add more tasks for future reminders if they are. Michelle Jackson
