This week we're bringing attention to two new features within the Product: Extended 'what-if' planning functionality, released with 19.2 at the end of May; and a brand new tooltip indicating planned PTO.
PTO Tooltip:
Did you know? When making a task or issue assignment, our new 'tooltip' indicates if someone has marked time off in Workfront during the planned dates of the work.
For those unfamiliar with the term 'tooltip,' this a message that appears when a cursor is positioned over an icon, image, hyperlink, etc. in a graphical user interface.
Note, this new feature was built in response to an Idea Exchange request!
Resource availability is a major part of delivering work on time. Knowing when team members have time off scheduled is key to meeting project deadlines. Making that time-off information available where you do your planning — on the project itself — means you’ll be choosing the right person to do the work.
Let’s take a look at how this works:
- The first step is to make sure that your team members are marking their time off in Workfront.
- Your team member opens their user page, either from the People tab or by clicking on their name somewhere in Workfront.
- From the More drop-down menu, select Time-Off. Then use the calendar to mark which days are unavailable for work because of holidays, vacation, personal time off, or other obligations.
- Now that time off is indicated in Workfront, this will show up when making task assignments on a project.
- In the project plan, start typing a user’s name in the Assignments field. A blue exclamation mark icon appears on the user’s avatar image and a tooltip pops up letting you know the user has time off scheduled during the planned dates of the task.
- You can still assign the task to the user. But keep in mind that their time-off might affect the deadline of the work you’re assigning.
- The icon is also visible on the task landing page when editing the Assignment information, as well as in the task details Assignments section.
- Note, this same functionality is available when assigning issues from the Issues tab.
- When you have tasks assigned to job roles, a list of users who are assigned that job role pops up when you activate the in-line editing in the Assignments field. Users who have time-off during the planned dates of the task will not show up on this list.

Leveraging Auto-Save for "what-if" planning:
Did you know? You can now leverage the auto-save toggle to play out different project scenarios, before committing changes. New and improved, we've extended "undo" functionality to all users with the addition of Auto-Save to the project Tasks tab.
A notable feature in the 2019.2 release was the ability to undo changes made to a task list while project planning through the use of the Autosave toggle.Although the "undo" functionality has been available in the Gantt chart, it's now visible to all users with the addition of the Autosave toggle to the project Tasks tab.
This video shows you how to use the Autosave feature to do what-if scenario planning or just to fix those small mistakes we all make when planning out a project.
